We are seeking a dedicated, highly organized, and results-oriented Project Assistant to join our global Disaster Risk Management group, which specializes in disaster risk reduction, response, reconstruction, and urban resilience. With experience responding to over 100 global and U.S. disasters, our data-driven, multidisciplinary approach addresses economic, political, socio-cultural, sustainability, and technical challenges in some of the world's most demanding environments. We excel at developing strategies for post-conflict and disaster recovery, including creating resilient, affordable housing systems that empower communities to rebuild and thrive. This position is to be based in Los Angeles, CA office. No relocation or sponsorship is provided. Position Summary The Project Assistant will report to Miyamoto’s Senior Principal and provide administrative and coordination support to Miyamoto’s global disaster preparedness, response, and recovery programs. The role will help keep projects and leadership activities organized through effective scheduling, correspondence, documentation, meeting coordination, action tracking, preparation of materials, and day-to-day administrative support. Working closely with Senior Principals, Project Managers, Project Coordinators, technical specialists, country teams, and operational staff, the Project Assistant will help maintain effective communication and information flow across a fast-moving global portfolio. The position will also support project reporting, presentations, proposals, travel, meetings, and other administrative and program needs. This role is well suited to a highly organized and resourceful individual who communicates and writes well, pays close attention to detail, takes initiative, and enjoys helping busy teams stay organized and get things done. Key Responsibilities • Provide day-to-day administrative and coordination support to senior project leadership and global program teams. • Support management of correspondence, including organizing and tracking communications, preparing and formatting draft correspondence, coordinating responses and follow-up, and helping ensure priority matters receive timely attention. • Manage scheduling and meeting coordination for project leadership, including coordinating across international teams, partners, stakeholders, and multiple time zones. • Prepare meeting agendas and supporting materials, take notes as needed, track decisions and action items, and follow up with responsible team members. • Support project coordination through maintenance of calendars, trackers, action lists, deliverable schedules, contact lists, and other organizational tools. • Maintain organized project files, records, databases, and shared information systems and help ensure documentation is complete and readily accessible. • Assist with preparation, formatting, proofreading, and organization of reports, proposals, presentations, briefing materials, correspondence, and other project documents. • Support development of PowerPoint presentations and other internal and external communication materials. • Coordinate administrative and logistical arrangements for meetings, workshops, trainings, travel, and other project activities. • Support travel planning and administration for project leadership and program teams, including itineraries, bookings, documentation, and coordination of schedules. • Assist Project Managers and Project Coordinators with reporting, documentation, data collection, compliance records, and other project administration as needed. • Support proposal development and other business development activities, including document preparation, coordination, research, formatting, and compilation of submission materials. • Work flexibly across projects and priorities, providing administrative and coordination support where needed during periods of high activity and disaster-response operations. • Support other administrative and project needs of the Disaster Risk Management group as required. This role may also support Miyamoto Global Disaster Relief (Miyamoto Relief), Miyamoto’s nonprofit organization supporting philanthropic disaster response and recovery efforts. This may include outreach, communications, and project coordination. Qualifications and Experience Education: Bachelor’s degree in business, international relations, emergency management, communications, public administration, or another relevant field. Equivalent relevant professional experience will also be considered. Experience: • Approximately 1–3 years of relevant professional experience in project support, administration, coordination, executive support, business operations, or a related role. • Experience supporting busy teams, senior professionals, or multiple concurrent projects is highly desirable. International, humanitarian, disaster response, or development experience is an advantage but not required. Knowledge: • Familiarity with general project administration and office coordination practices. • Experience with project management, donor-funded programs, or international operations is an advantage but not required.
