Location: Damascus POSITION SUMMARY: The Supply Chain Assistant is responsible for supporting the Supply Chain team and ensuring that all procurement and logistics activities are carried out in a timely manner without compromising ONSUR's established standards. The Supply Chain Assistant will assist in remotely following up on specific procurements in different locations, as required, and will work closely with all sectors to ensure that planned activities are implemented accordingly. Duties and Responsibilities Key Responsibilities • Assist in responding to procurement requests from Program staff related to supplies, materials, and other requirements for project beneficiaries and activities. • Ensure that procurement is conducted in accordance with ONSUR policies and procedures and applicable donor requirements. • Ensure that all purchased materials meet appropriate quality and price requirements and are delivered on time. • Prepare all required procurement documents and maintain records and files in an appropriate manner. • Prepare payment requests and collect the required supporting documents to facilitate the payment process. • Assist in providing all information and documentation required for financial processing in accordance with ONSUR and donor policies and procedures. • Coordinate with Finance to ensure that payments are delivered to suppliers. • Conduct regular market surveys for frequently procured goods and services. • Coordinate the transportation of purchased materials to other ONSUR locations. • Collect required documentation from different departments and locations. • Provide relevant staff with updates on the status of their requests and deliveries, and maintain regular communication with the supervisor on procurement matters. • Assist in regularly updating the Purchase Request Tracking Sheet (PRTS) and other procurement tracking sheets. • Monitor supplier performance and maintain a database of good and reliable suppliers for different categories of supplies, services, and goods. • Maintain an accurate and organized filing system for both hard and electronic copies. • Perform other duties as required by the Supply Chain Coordinator. • Comply with the organizational Code of Conduct, Safeguarding Policy, and Protection from Sexual Exploitation, Abuse and Harassment (PSEAH) Policy, and report any safeguarding or misconduct concerns. Note: The key responsibilities listed above are illustrative only. The employee may be assigned additional responsibilities in the future depending on the organizational structure of the department. Required Qualifications & Experience Education: • Bachelor's degree University degree or institute diploma, preferably in Business Administration, Logistics, Supply Chain, Procurement, or another relevant field Experience: • At least 2 years of professional experience, including a minimum of 6 months in procurement. • Experience working with a procurement system is preferred. Technical Skills • Very good proficiency in MS Office, especially Excel. Core Competencies • Ability and willingness to travel within Syria and to ONSUR's project locations as required. • Commitment to upholding the highest standards of safeguarding, accountability, technical integrity, impartiality, and professional ethics Languages: • Good verbal and written communication skills in Arabic and English.
